Senior Administrator Officer

Salary: £10.19 - £11.72/hour

Type: Permanent (September start)

32 hours/ week Monday – Friday

Job Overview:

To support the Principal and Senior Leadership Team (SLT) with an efficient confidential administration service across all aspects of the college.

Key Responsibilities:

  • Undertake routine administrative tasks in support of the College Senior Leadership Team and provide administration support to the Principal as required
  • To provide a confidential secretarial, clerical and administrative service to the
  • Principal and SLT including proofreading of documents and teacher reports to meet the needs of the College
  • To ensure SLT and Principal are briefed for all meetings with relevant correspondence, documents/presentations and in the Principal’s absence refer matters to relevant members of the SLT for action
  • To deal with incoming and outgoing correspondence for the Principal – drafting replies when necessary
  • To liaise with parents, clerk and Governors, staff, students, general public, government departments, local authority and VIP visitors to the college;
  • To keep the Principal’s electronic diary and make appointments in line with agreed procedures
  • Create and maintain an electronic and paper filing system, as appropriate
  • Have a detailed working knowledge of the relevant Databridge packages and be able to access staff and student information including timetables
  • To file and maintain college policies, oversee the updating schedule and notify the Principal of policies to be updated
  • To receive and welcome visitors to the Principal in a professional manner, providing refreshments as required
  • To minute take as required

Admissions and Transitions:

  • To manage the administration process with regard to new enrolments and admissions process, welcome and offer letters, consent and medical forms, transitions pack.
  • Ensure student information is updated and maintained on Databridge.
  • Assist with Annual Reviews, attend Annual Review meetings and take notes.
  • Manage the filing and organising of HSNAs, IPAs and care plans.
  • Assist the Transitions Coordinator with the organisation and monitoring of annual review schedules and paperwork and ensure that all parties are informed of dates in a timely manner in accordance with statutory requirements.
  • Assist with professionals and tutors regarding annual review process and EHCP information

Other Duties:

  • To assist members of the SLT in organising events such as parents’ information evenings etc.
  • Use design knowledge for college publications when necessary.
  • To assist in the arrangements for college functions and receptions including invitations, catering etc.
  • To assist the Marketing Manager with co-ordinating changes to the College
  • Prospectus, Website and essential documents including the proof reading, copy of the documentation and displaying as appropriate
  • Ensure tidiness of SLT office related rooms
  • Comply with policies and procedures relating to child protection and vulnerable adults, health & safety, welfare, security, confidentiality and data protection, reporting any concerns to the appropriate person
