Projects Coordinator
Location: Swindon with some travel to client sites
Type: Permanent
Salary: £30k-£35,000 per annum
 
Qualifications:
Essential:
  • GCSE (or equivalent) Maths & English
  • Hold, have held or eligible to apply security clearance
Desirable:
  • Technical qualification within the Building Service Industry and/or Facilities Management
  • Knowledge of Assets and their maintenance requirements
Experience and Skills:
 
Essential:
  • Experienced user of Microsoft Office software including Word, Excel and Access
  • Good working knowledge of databases and reporting

Working within the Asset Management and Technical Services Team the successful applicant will is responsible to the Life Cycle and FWP Lead:
  • Coordination of projects on Life Cycle and FWP through the CAFM system (Concept)
  • Raise Work Orders for Life Cycle and FWP remedial works through the CAFM system and track and coordinate these work orders from assign status to completion.
  • Ensure all remedial documentation is uploaded to the Management Information System within the timescales set out in the contract; this includes Written Schemes of Examination and certification.
  • Assist in the production of FWP and Life Cycle forecasted expenditure reports as specified in the contract
  • Provide administrative support to  FM Technical Services team including document control
  • Regular reporting in agreed format in a timely manner, to internal/external customers and also to the Supply Chain.
  • Develop and maintain effective working relationships, both internally and externally with customer and client at all levels of management. Ensuring client satisfaction with agreed outcomes and best practice methodology
  • Ensure contractual obligations are delivered and sustained
  • Ensure that the Life Cycle and FWP Lead is regularly updated with the statuses of remedial works and other legislative work orders that are delivered by the Supply Chain.
  • Assist the Life Cycle and FWP Lead with ensuring suppliers PPM remedial works meet contractual requirements.
  • Ensure areas of concern with the delivery of statutory requirements are highlighted.
  • Ensure client satisfaction with agreed outcomes and best practice methodology
  • Ad hoc Project work as directed by senior management, this is to include updating of the clients asset register
  • Internal colleague relationship management and opportunity development
  • Evaluate and develop own working practices and promote safe working practices
  • Ensure full audit trail in place to satisfy internal and external auditors through the CAFM systems.
  • Adhere to the company’s business practices and zero harm culture
  • Add hoc duties when required.
